Data protection declaration


Dear applicants,

We would like to thank you for your interest in the position advertised. This Data protection declaration is intended to give you an overview of what personal data are processed by Ringier AG (hereinafter referred to as “Ringier”) as part of the application and appointment procedure. You will also find out about what rights you have in accordance with data protection and how you can exercise them.

1. Who is responsible for processing your personal data?

2. What personal data are processed when and why (purpose)?


We process the personal data, which you provide in the Ringier application tool, in the following cases:

  • Application for a vacant position;
  • Starting a job at Ringier;
  • Saving of the application in the Ringier Talentpool.

a) Application in response to an advertised position


If you apply for a position at Ringier, the following personal data and documentation about you will be collected in the Ringier application tool:

  • Title (gender), forename, surname
  • Address including house number, postcode, town and country
  • Mobile number
  • E-mail address/login
  • User language
  • Date of birth (optional)
  • LinkedIn profile URL (optional)
  • XING profile URL (optional)
  • Photo (optional)
  • Application letter (optional)
  • Curriculum vitae
  • Work references/certificates

We will process these personal data during the period of the application procedure exclusively for the purpose of completing the application process.

b) Starting a job at Ringier


If you start a job at Ringier on the basis of your application, the personal data mentioned under a) and your documentation from the Ringier application tool are extracted and filed in your electronic staff file at Ringier.

During the period of your appointment, the personal data and your documentation are processed exclusively in connection with your employment.

c) Ringier Talentpool


If you have given your consent, the personal data mentioned under a) and your documentation will be included in the Ringier Talentpool and taken into consideration for future job vacancies by all the companies affiliated with Ringier (hereinafter referred to as “Ringier Group”).

Your personal data and your documentation will be processed exclusively for the purpose of recruitment within the Ringier Group while you are included in the Ringier Talentpool.

3. How long do we save your personal data?


Your personal data will be saved in the Ringier application tool during the period of the application process. If no contract of employment comes about between you and Ringier, your personal data will automatically be deleted from the Ringier application tool after six months, insofar as you have not already deleted your profile yourself beforehand.
If this is necessary to comply with legal requirements or on the basis of a justified interest on our part (documentation and preservation of evidence purposes, maintaining and defending legal claims), your personal data will be saved beyond this period.

4. Will personal data be passed on to a third party?


All of the personal data collected in the Ringier application tool will in principle not be passed on. Unless you have given your consent for your application to be included in the Ringier Talentpool and for it to be taken into consideration for all vacant positions in the Ringier Group (see Section 2. c)).

Your personal data may also be passed on to a third party outside Ringier which is providing technical or organisational services on the instructions of Ringier that we require for the satisfaction of the above-mentioned purposes or general business activity. This might for example be a hosting partner. We oblige these service providers contractually to process your personal data exclusively on our instructions and in accordance with our requirements and to ensure the protection of your personal data through the appropriate security measures of a technical or organisational nature.

Any other passing on, transmission or sale of your personal data to a third party outside Ringier will not take place, unless this is necessary to complete a contract, which you have concluded with Ringier, or you have given your express consent for this. The disclosure of the personal data determined by law, for example to a law enforcement agency or to pursue or identify unlawful activities remains reserved.

5. What are your rights with regard to your personal data?


You have the right to determine yourself what happens to your personal data. You therefore have the option of inspecting, correcting, updating and deleting your personal data using the password you have selected at any time in the Ringier application tool. You also have the right to submit a report to the responsible supervisory authority or lodge a complaint if you are of the opinion that the processing of your personal data does not comply with the data protection rules.

6. How are your personal data protected?


Ringier operates secure data networks, which comply with the relevant applicable technical standards. Appropriate technical and organisational measures are taken to conscientiously protect your data against loss, destruction, falsification, manipulation or unauthorised access. The confidentiality of your electronic application is ensured through automatically activated encoded transmission.

Although Ringier uses all the required means to prevent the disclosure of the data on the basis of errors in the data transmission and/or unauthorised access by a third party, it cannot assume any liability for such undesired events.
